Terms & Conditions

These Terms & Conditions govern all bookings made for accommodation, safaris, and experiences offered by Asanja Africa. By confirming a reservation with us, you acknowledge that you have read, understood, and accepted the terms outlined below.

1. Booking Authority & Sales Representation

Some bookings for Asanja Africa lodges, camps, and safari experiences may be facilitated through our authorized sales partner:

Book Me Africa Pty Ltd

Book Me Africa Pty Ltd is a registered business in Australia & acts as an authorized global sales representative for Asanja Africa and may assist with reservations for:

  • Asanja Africa lodges and camps

  • Safari experiences operated by Asanja Africa

  • Selected partner lodges, flights or travel services arranged as part of an itinerary

Payments, confirmations, and communication may therefore be processed either directly by Asanja Africa or through Book Me Africa Pty Ltd, depending on how the reservation is made.

2. Deposit & Payment Policy

To secure a reservation, the following payment terms apply:

Deposit

  • A 30% non-refundable deposit of the total booking value is required to confirm the reservation.

  • If internal flights are booked as part of the itinerary, 100% of the flight cost must be paid at the time of booking.

Balance Payment

  • The remaining balance must be paid 60 days prior to arrival.

  • All payments are non-refundable once paid.

Bookings made within 60 days of arrival require full payment at the time of confirmation.

3. Cancellation Policy

Due to the nature of safari operations and the remote locations of our camps:

  • All deposits are non-refundable.

  • Final payments are non-refundable.

This policy reflects commitments made in advance to national parks, logistics providers, staff, and suppliers.

We strongly recommend that all guests purchase comprehensive travel insurance covering cancellations, medical emergencies, and travel disruptions.

4. Reservation Changes

Guests may request changes to their reservation dates or itinerary, subject to availability.

  • Asanja Africa will not charge administrative fees for reservation changes where possible.

  • However, any difference in rates, park fees, or seasonal pricing will apply.

Please note:

  • Flights booked as part of the itinerary may not be reschedulable.

  • In many cases, flight tickets may need to be re-purchased at the guest’s expense if travel dates change.

Guests should contact our team as early as possible if changes are required.

5. Third-Party Bookings

If a reservation is made through:

  • Online booking platforms

  • Independent travel agents

  • Third-party tour operators

Certain elements may not be included in the quoted price, particularly:

  • National park entry fees

  • Conservation or concession fees

  • Government taxes or tourism levies

These costs may need to be paid directly at the park gates or through the local operator, depending on the booking channel.

Guests are encouraged to confirm inclusions carefully with their booking agent or contact our team.

6. Payment Security & Cardholder Responsibility

Guests must ensure that:

  • Payments are made using their own credit card or with full authorization from the cardholder.

  • All billing information provided is accurate and legitimate.

Asanja Africa maintains a strict zero-tolerance policy toward payment fraud.

Any bookings suspected of:

  • Unauthorized card use

  • Fraudulent transactions

  • Friendly chargebacks or disputed payments after services have been rendered

may result in:

  • Immediate cancellation of reservations

  • Refusal of service

  • Legal or financial recovery action where applicable.

7. Travel Documents & Insurance

Guests are responsible for ensuring they possess:

  • Valid passports

  • Appropriate visas

  • Required vaccinations

  • Travel insurance

Asanja Africa cannot be held responsible for travel disruptions resulting from missing documentation or government regulations.

8. Force Majeure

Asanja Africa shall not be held liable for circumstances beyond its control including but not limited to:

  • Natural disasters

  • Government restrictions

  • Pandemics

  • Flight cancellations

  • Political unrest / Act of War

  • National park closures

In such cases, we will work with guests to reschedule travel where possible, though refunds are not be possible.

9. Safari Travel Conditions & Road Infrastructure

Safari travel in Tanzania often takes place in remote wilderness areas where road infrastructure is managed by the Tanzanian government and park authorities, not by Asanja Africa.

Road conditions may be affected by:

  • Weather (rain, mud, flooding)

  • Wildlife movements

  • Park maintenance schedules

  • Natural terrain conditions

As a result, situations such as:

  • Vehicles getting temporarily stuck in mud or sand

  • Tire punctures

  • Slow driving conditions

  • Delays due to road accessibility

may occasionally occur during a safari.

Asanja Africa and its partners make commercially reasonable efforts to ensure that all guests are:

  • Safe

  • Assisted promptly

  • Taken care of by professional guides and staff

However, Asanja Africa cannot be held liable for circumstances beyond our control, including government-maintained road conditions, weather-related delays, or minor mechanical issues that may occur during safari operations.

Refunds, partial refunds, or compensation cannot be requested on the basis of such operational circumstances, including but not limited to situations such as a vehicle getting stuck temporarily or experiencing a puncture.

These events are considered a normal part of remote wilderness travel.

10. Payment Disputes & Chargeback Policy

By making a reservation and completing payment, guests acknowledge and accept these Terms & Conditions in full.

Asanja Africa maintains a strict policy against fraudulent disputes or “friendly chargebacks.”

A friendly chargeback refers to a situation where a guest disputes a legitimate charge with their bank or credit card provider after services have been confirmed, reserved, or delivered.

This includes disputes based on:

  • A change of mind after booking

  • Attempting to avoid cancellation penalties

  • Later disagreement with policies that were clearly communicated at the time of booking

  • Claims of not agreeing to the Terms & Conditions after payment has been made

Once payment is made, it constitutes full acceptance of these Terms & Conditions.

11. Acceptance of Terms

By confirming a reservation with Asanja Africa or through our authorized sales representatives, guests confirm that they:

  • Have read and understood these Terms & Conditions

  • Agree to comply with all payment and cancellation policies

  • Accept the responsibilities associated with safari travel
